President’s Report: Deb Steffens donated her semen from 5 dogs to the ReproBank:
Noble, Sawyer, Ozzie and Dancer included Still need her to sign the forms. Forms needed for Seamus as well. Discussion of whether the Repro Bank can specify the need to follow the English epilepsy protocol for some dogs but not for others.
Treasurer’s Report: The Auction collected over $900. Funds are still coming in.
Old Business: Semen collection set for Thursday morning September 5 between
8 -12 at ISU. Sign Up Genius will include appointments for collection. Becky will check with Derek on cost to those who want to collect semen for themselves.
New Business: Eibhlin moved and Becky seconded motion for the ReproBank to put an ad in the National Specialty catalogue. Passed unanimously.

President’s Report:  the AKC PPB will accept donations of frozen semen with only one owner’s signature.
Treasurer’s Report: Both Federal and State Tax returns have been filed and are available on the website. The annual directors and officers insurance fee has been paid. We are still trying to get complete information for one dog listed that is available in the bank.
In the new database (Otterhound Club of America Inc Pedigree Database (pedigreedatabaseonline.com) semen owners may check a box indicating who they are, dog owner, Reproduction Bank or other with the opportunity for fill in their name so they may be contacted by breeders. All dogs with frozen semen may be listed on the database stud dog list. This would be available in lieu of the OHCA stud dog list currently available on yahoo.groups.io.

For the year 2023, after all expenses, the Reprobank had an income of $1681.94 with only one fundraiser event for the year.

Old Business:  Conrad and Evan have finished their article on whelping their first litter for the Spring Newslatter.

New Business;  Janet Cain has agreed to do the winner’s portrait for next Spring’s Portrait Raffle.
Second Prize will be the 18x10 drawing “Wait for Me”.
Third Prize will be a glass disc and notecards from janet Cain.

Auction:  We will use 32 Auction again with the same features as last time.   Photos of auction items are due to Becky by May 15 and the auction itself will run June 9-June 23, 2024.

President’s Report: Nothing to report.
Treasurer’s Report: To date $1790.44 has been received for this year’s Art Raffle. The drawing for the Raffle, facilitated by Becky, will take place on 2/29/24 at 1.00pm CST with the Board being able to access the event via Zoom.
New Business: The next fundraiser will be an online auction which will take place in June.
A time will be set up at this year’s Nationals for semen collection. Derek has advised the storage fee will be reduced. Collection could be for the Reproduction Bank and for those wishing to collect their dog for their own collection. Becky suggested using Signup Genius to assist with planning. Suggestions of multiple places to advertise this opportunity were discussed, to ensure good update by Otterhound owners.

Discussion of the next newsletter. This will include articles on the promotion of the semen collection at this year’s National and information on the online auction. The aim is having the newsletter ready for early April.

President’s Report: The AKC PPB is up and running and getting donations.

Treasurer’s Report:
After reviewing the minutes from the last couple of meetings, I realized that we had a few items for follow-up.

I just checked on the email service we could get through Weebly. The email address would be [email protected].
We can do up to 300 aliases. The cost is free for the first 30 days and then is $70 per year. Let me know what you think.
After depositing $1245 from December donations, and adding $10.77 Interest, our bank balance stands at 27,989.13 year end. Since then we have paid for printing in the amount of $228.29. Thank you to Frances for her donation of mailing costs for sending out the raffle tickets.
AKC has received the paperwork for Barley and Gabel for ownership by Bruce and Becky Van Houten. As soon as they have it logged in, I will send the paperwork to transfer semen to the bank. It has been received by Iowa State confirmed by Derek. AKC has said they will notify me when I can send in the necessary donation paperwork. I may wait until I return to Wisconsin.
I have received a copy of the director’s and officers insurance policy for the upcoming year from 3/01/2024 to 3/01/2025. I confirmed with Sportmen’s Insurance there were no changes to the policy since the past year. All coverages will remain the same. I asked to have the invoice sent to our P.O. box address instead of to Joey since I need to pay the invoice. Cost for the insurance will go up by about $20 per year to $593 for the year. Coverage is provided by Great American Insurance Group. Please let me know if any of you would like a copy of the policy. Sportmen’s said to expect the policy sometime in March.
I can email the link to the Bank website with updated information about the Art Raffle whenever we want to do it. We should then begin to take turns posting about it on FaceBook or Instagram or X. (I don’t have an X account!)

The Board unanimously approved establishing a weebly email account.  Once it is set up, Eibhlin will contact Robert to inform the Board.

Old Business:  The raffle tickets and letter have been mailed for the Portrait Raffle.  The Board thanks Frances for all her work in getting the information printed and mailed and for donating the cost of postage.

President’s Report: AKC PPB moving along.  It is now set up for cash and semen donations.
Treasurer’s Report:  Donations received: $1200 from the Schraders and $45 from Facebook charities, no name given.
Old Business:  Portrait Raffle.  Everything looks good and ready to go.
New Business:  Assessing dogs donating semen.    Unanimous vote to assess temperament and health before accepting semen donations.  Every two years in June the ReproBank will send an email to owners of living dogs who have donated semen to the bank asking about any health or temperament changes.
Semen Collections:  From now until March 1, 2024, ISU will send a tank for semen collection for $275 round-trip.   ISU is 33 minutes away from the site of the 2024 National Specialty in Des Moines.  If a number of owners wish to donate, ISU will set aside a block of time for collections..

President’s Report: AKC PPB now has 501c3 status and is taking donations.
Treasury: $27,071.97
Auctions: Sonnya Wilkins will donate a weather vane for the Repro Bank auction once she has replaced the bloodhound with an Otterhound.
Decision not to do an auction in competition with the National this year. We will move the art auction to next February (a month earlier than we have done it at Louisville) and do an online auction next June.

Need to find an artist for the portrait auction no later than November.
Semen collection at the National will be done by the same group. Joey will draw blood for the DNA bank and ship any semen to ISU.

President’s Report: No updates from AKC Purebred Preservation Bank, which is still reviewing forms for people to use and awaiting 501c3 approval.

Old Business: Motion to accept semen from dogs who have never had a seizure even if they have produced seizures by Eibhlin, seconded by Becky. Passed unanimously. Discussion followed on epilepsy, including no longer keeping semen from dogs who develop seizures.

New Business:

Discussion of epilepsy in breed raised issue of epilepsy research, perhaps with a consortium of related breeds, i.e. Otterhounds, Bloodhounds, Foxhounds, etc. Joey to contact Canine Health Foundation for possible researchers.

Auction: Instead of a separate auction, Board will contact Cindy Huffman for OHCA Board permission to hold a separate auction at the National Specialty in September. Importance of keeping this auction separate from the general one. Also suggestion to contact Anglie Bixler make auctions available to non-attendees with online bidding.

We have received an additional check as a donation from Patrick Mahoney in the amount of $75 which I will deposit in our account upon returning to Wisconsin.
Frances Ward sent me an accounting for the amount of her donation for mailing out the raffle tickets. The total was $130.12. Many thanks to Frances for taking on this job as well as for her donation.

New Business:
The same group will be collecting semen at the National Specialty at Purina Farms and we need to encourage folks to have their dogs collected for the Bank.
Eibhlin suggested we put some GT tests in the auction at the National Specialty and ask Eddie at the OFA to donate GT certificates for the National.

Pawprints GT tests.  Some may be getting too old to use, so we need to post their availability on Groups.io for $50 to cover shipping.  Contact joey for the tests; pay with PayPal.

Old Business: Eibhlin moved we accept the insurance bid and insure Officers and Board for One Million. Linda seconded and motion passed unanimously.
State of Maryland documents have been updated with Joellen Gregory, the President as our contact in the state.
Board praised Frances for the nicely done raffle tickets and letter for our Portrait Raffle in March. The drawing will take place on Saturday in Louisville.
There will be no semen collections in Louisville this year.
New Business: Discussion of donation of Loopey’s semen to the bank. Joey offered to send a tank to cut down on shipping costs. Becky will contact Gael to arrange the shipment.

President’s Report: Joey’s presentation at Woodstock, Vermont on repro banks is on video.
Tufts has a new program for vet students to partner with a local purebred breeders, working with the breeders from the early pedigree analysis to breeding to whelping to raising and placing a litter.
Question of how long to keep semen of dogs who have no testing done. Four years? Secretary to contact AKC to see if they will contact the owner of the semen of the dog without any testing

Treasurer’s Report: Becky presented an insurance quote from Sportsman Insurance. Eibhlin moved we take out a two million dollar policy from the company. Frances seconded. Discussion followed. Eibhlin made a motion to table, seconded by Linda. The motion passed unanimously and was tabled.
Becky suggested we contact Three Rivers Cluster to see if we can invite Red Hills Animal Reproduction Specialties from Georgia to collect semen at the 2023 National Specialty. Joey offered to research the group.
Old Business: Newsletter nearly ready but need photos of Otterhounds in the snow.

Portrait Raffle: Eibhlin to contact woman who did the portrait for Sonnya and explain our raffle to see if she is interested.
Becky will get the name of the person who did our 2022 trophies for another prize.

Judges Education will be on Thursday afternoon in Orlando.

Crate Raffle? Eibhlin will send links on various crates to Frances to write for possible raffle donation for next year.

Approval of August Minutes moved by Frances; seconded by Becky; passed unanimously.
President’s Report: Three dogs were collected at the National Specialty. The owner of two of the dogs split ownership of the semen with the ReproBank. The owner of the third dog had two collctions, one for the owner and one for the Reprobank.
Woodstock Dog Club will interview 5 people on the Purebred Preservation Bank. Joellen will be one of them and talk about the OHCA Repro Bank. The interviews will be televised.
Treasurer’s Report: The current balance of the Reproduction Bank is $23,327.67
Money is still outstanding from the OHCA from the auction held in conjunction with the club auction. That amount is $1021 from purchase of items from Kitty Sweeney’s estate and Betsy’s donation of stained glass.
We have sold 2 of the GT tests from our recent order from Pawprints Genetics. Results are pending.
We have outstanding money from the sale of AKC DNA and will be submitting payment for those soon but will be a simple in/out transaction.
Old Business: Need to do: Update the website to reflect the litter born from Harvey in the Repro Bank and feature it for the next ReproBank Newsletter. Get statements from all owners that they have donated semen to the ReproBank. Find out if all transfers of frozen semen have been sent by Dr. Greer to the AKC.
Insurance for Officers and Board : Becky will check with Equisure and Joellen will check with the insurer of the AKC Purebred Reproduction Bank.
Spring Portrait Raffle: Possible artists Heidi B. and Martin and Sarah Prescott. Their websites have been forwarded to members for their consideration.
Next meeting will be Nov. 15 at 7:00 p.m. CST. Agenda item: Consider whether the Bank will subsidize collections at individual vets for people who cannot make the National.

The contract with Weebly for our website has been renewed for two years.

Eibhlin will call Sonnya about the artist who did her dog’s portrait.
Joey will ask Jody to do a second prize.

After being introduced to the first litter from the Repro Bank, member approved the June Minutes unanimously. Linda Moved and Frances seconded.
President’s Report: The AKC Purebred Preservation Bank is on its way after the attorneys approved all the paperwork. Several Parent Clubs (Akitas, Boxers, Golden Retrievers)
are the farthest along in establishing their own Reproduction Banks.
New Business: Artists for next Portrait Raffle. Joey said there was a new AKC Delegate from Vermont who mentioned she makes door knockers. Joey will look her up and see if she would be interested in making Otterhound door knockers.

National Specialty: We are planning on having a group collect semen at the National at Purina Farms, but Becky hasn’t heard from the Cluster what group will do the collections.
Joey will collect blood for the DNA Bank at U of Missouri.
Eibhlin moved we order 10 more GT kits from Pawprint Genetics, seconded by Frances and passed unanimously. Becky will contact Pawprint Genetics for the kits.

Via email, Eibhlin made the following motion: The stud fee for use of semen from the OHCA ReproBank in 2022 is $1800. Frances seconded and the motion passed unanimously. Joey will be sure Linda receives the Stud Contract.
Treasurer: Becky filed both our Federal and State of Maryland Taxes.
Nancy Lange is in touch with the artist who is drawing the first place winner of our Spring raffle. Beaker won but Nancy is paying an extra fee to include Raphael in the painting.
Becky urges us to spend money to collect more dogs for the Repro Bank at the National at Purina Farms.
New Business: We discussed our next fundraiser and decided we didn’t have enough items of worth for an online auction. We would pursue a raffle offering one big ticket item. Eibhlin will once again contact Impact Crates and Frances will contact Ruffland Crates and East Coast CratesNext Meeting will be Sunday, May 15 at 7 PM CDT.

Treasurer’s Report:  We made $1890, less the cost of the first prize portrait and the second prize ($260 + $50), leaving a profit of about $1500.  The Repro Bank has approximately $23000.

President’s Report: AKC Reproduction Bank is progressing. It may be up and running by the end of 2022 at the earliest.
No progress yet on paperwork for the AKC. We need to have the same information on each dog that the AKC requires. We need to change our forms to include all the requisite information.
Joey will send the information we need for the AKC and Becky will send the forms we have to Diane so we can get our forms complete. Eibhlin will work with Diane to contact donors who need to update their forms.

New Business: Perseus’s semen has been donated to the ReproBank.
Question: How many canes should we store per dog? To be decided at a later date.
Derek Kraayenbrink is at training and will be away until the end of February.

AKC List of Otterhounds in Bank. There was some confusion between the Repro Bank and the AKC records, so Mark Dunn will get together with Joey to straighten things out.

President’s Report: The AKC Board received a proposal from from the AKC Preservation Bank. They are now figuring out a financial projection for at least 20 years out and they are in ongoing conversations before meeting with their legal team.
Joey will send a list of dogs owned by the OHCA Repro Bank to Mark Dunn to check against the AKC ownership records.
Joey will check with ICSB about collections at the National Specialty in Ohio.

Old Business:
Decided unanimously to use 32 Auctions for our upcoming art auction. Becky will sign us up and pay the required fee. Becky will check with Mike Ansell to get an idea of worth of the prints the Wallens bought in England.
Joey will check with Pack N Ship on price to ship a framed print to several parts of the USA.

Meeting was called to order at 8: 05 CDT.
Approval of Minutes of the April meeting moved by Kathy and seconded by Linda. Motion passed unanimously.
Joey reported the AKC Bank has been busy. The AKC has set up an umbrella reproduction bank for all breeds until they can establish their own banks. The Akita and Boxer clubs are getting theirs set up. Some difficulties clubs have experienced is the process is too time consuming and there are worries the concept is too volatile. The members of the AKC work group include: Joellen Gregory, Charlie Garvin (Dalmation), Mark Dunn, Marty Greer, Jerry Klein and Vanessa Skou.

Thank you to Kathy Munger for her exemplary service on the Reproduction Bank Board. Her work has been invaluable in getting the organization running from the beginning and to handling our fund-raising opportunities. We will miss Kathy.

We welcomed Frances Ward as our newest member and welcomed Diane Herold who will assist with our paperwork.

Collecting Dogs at the National: Joey will contact ICSB to see if they want us to schedule Otterhounds or if they should contact them directly.

Becky will bring the Glanzmann’s tests she has for our semen donors to use.

AKC numbers of donated dogs: Becky compiled a list of all the AKC numbers of all the dogs in the Repro Bank. We discussed removing one dog whose AKC number could not be located and who has not submitted any health tests. (Becky and Joey subsequently found him via his registration number. He was registered without the kennel name prefix.)
Becky will send the Secretary a list of donors so she can send thank-you letters. Becky is ordering more thank you caps and will send them to Joey for distribution to members that have their dogs collected for us at the National.

President’s Report: AKC is setting up a semen bank for both AKC and FSS breeds that Parent Clubs can manage. Owners can donate semen to the AKC Bank directly and do not have to go through their parent club. Semen storage facilities can donate any semen whose owners no longer pay to keep it directly to the AKC.

Joey hasn’t yet contacted ICSB about collecting semen at our National for the OHCA Reproduction Bank, but she will.
Treasurer’s Report: The Repro Bank has made about $2573 for the Portrait Raffle already with a couple of weeks to go. The drawing will be held on May 1 via Zoom.
Old Business: Art and Memorabilia Auction. Joey has stuff from Betsy,; Eibhlin has stuff from Nancy Wallens. Eibhlin to contact Dian to see if she has stuff to donate to the auction.

Discussion of shipping costs: Should someone take a large framed print to Pack and Ship for an estimate?

New Board member: Discussion of possible candidates for the Reproduction Bank Board. Eibhlin to contact Frances Ward to see if she is interested.

President’s Report: AKC is setting up a 501c3 Reproduction Bank for all breeds to use until the Parent Clubs are ready to take over for their breed.
Treasurer’s Report: Both state and federal income tax filings took place in March.
New Business:
The Board welcomed Diane Herold as our new Records Manager.
Board discussed AKC paperwork needed for Reproduction Bank ownership of frozen semen. And Joey recommended people go to [email protected]. We need to make sure we have all co-owners signatures on donations of semen to the Reproduction Bank.
Old Business:
Collections at the National Specialty: ICSB will be doing the collections. Joey will contact them to find out

when they will be open at the show cluster,
if our dogs will need to make appointments with them to be collected and
what the cost of each collection will be.

Becky will bring the discounted GT tests to offer to donors.
Discussion on age of males to be collected. Joey said much depended on the male, but recommended dogs be 18 months and that they are tested in advance of the collection at the National to get better collections. .Joey will include that in her article for the next issue of the Voice.
Portrait Raffle:
Kathy reported that she mailed 5 tickets to 174 people, and each just weighed one ounce postage. We might want to use lighter weight paper for the tickets next year. Anyone wanting extra tickets should contact Kathy. People can pay online by using the Donate button.
Auction:
Becky did a Zoom meeting with one business that ran online raffles and wants to check on some others. She asked that more members attend the next meeting with a representative. People need to put in a valid credit card to bid, and she discussed this site recommended using Stripe or Paypal.
Eibhlin volunteered to check on Ebay for the auction.
Joey will get the auction items from Betsy Conway.
We will invite Dian Quist to attend our April meeting on Tuesday, April 20 at 7 p.m. CDT

Discussed putting items with Repro Bank logo on in OHCA Store with separate accounting, so funds remain separate.   Becky will check with operators of the Store, Cindy and Alison.

Old Business: Kathy Munger moved we appoint Diane Herold Records manager for the Repro Bank. Eibhlin seconded the motion, which passed unanimously. Diane will be invited to our March meeting.
Portrait Raffle: All is set for the raffle. Joey will print envelopes and Kathy will obtain an address stamp so we can include an envelope for people to return their ticket stubs and payment since we will not be selling tickets in person this year.

New Business: Kathy raised the question of notifying people when their dog’s semen is used. The donors may want a puppy out of the semen they donated from their dog. We agreed to add a place for donors to check if they wanted to be notified in cases of semen use.

Auction:
Becky will ask Heidi and Arjun of the OHCA Tech Committee to investigate websites we might use to hold an online auction in place of our Christmas in July sales. We have donations from Betsy Conway and Donna Emery, Nancy and Dick Wallens’ estate and Dian Quist.

Shipping: The highest bidder will be responsible for shipping costs.

Procedures:     Minimum bids will be established.
                        Value of items will be stated.

Semen Collections at the National in Ohio: Joey will come up with some options for collecting Otterhounds.

Foreign bred dogs’ semen discussion: We will welcome semen from dogs born outside North America with all the health clearances. We would like information on parents’ and siblings’ health in addition if possible.

President’s Report: Joey went through the AKC Toolkit for Establishing a Parent Club Sponsored Reproduction Bank (PCSRB), which is based on the OHCA Reproduction bank documents.
Treasurer’s Report: The year-end financials will be presented at the December meeting.

Old Business: Kathy shared her description of a Records Manager for the OHCA Repro Bank. The description will be published in the ReproBank newsletter, Groups.io and on Facebook.
The Records Manager will have the responsibility of keeping track and documenting the records of the dogs in the OHCA Reproduction Bank. This includes:
1. Making sure the males and females using the bank have a CHIC number: have been tested for Glanzmann's and made public, have hip x-rays and made public and blood has been submitted to the University of Missouri.
2.Keeping track of the semen status of the dogs in the Bank. i.e. is their semen ready to be used per the Repro Bank's guidelines?
3.Contacting the owners of donor dogs if the tests in #1 have not been completed.
4. Keeping the Board updated on the status of the dogs and their semen.
Newsletter: Slated for early January, the upcoming newsletter will include an article by Joey on frozen semen and successful Otterhound litters born using frozen semen, as well as the above job description and our Playboy of the Month.
Portrait Raffle: Marilyn Hajjar will be asked to design the tickets for the Portrait Raffle.

Joey contacted Charlie to be sure it was OK to give his name to those inquiring about a lawyer to start a Repro Bank. She hasn’t heard back yet.
Joey is still getting calls asking for the Repro Bank Template from the AKC.
Becky asked if Joey would walk us through the Template and she agreed for the November meeting. She sent the template, which we will review via Zoom at our next meeting.

Treasurer’s Report: Becky shared with us Paypal’s putting us on their list of 501c3s that people can donate to.
Old Business:

Discussed adding another Board member with the responsibility of keeping track of all the records on the dogs in the Repro Bank. We will revisit this in November with added suggestions of possible members.
Portrait Raffle: Since the shows in Louisville in March have been cancelled, we decided to hold the raffle at the Purina Supported Entry next Spring.

Prizes:

Cindy Huffman will do the portrait for the first prize winner
Jodi will do the portrait for the second prize winner
The third prize will be a messenger bag with the Repro Bank logo

Joey will check on prices to print 1000 tickets. The price of the tickets will remain the same as last year: one for $10; three for $25 and five for $40.

President’s Report: The Reproduction Bank template was presented at the September meeting of the AKC Delegates. Our Repro Bank may be getting calls like the one asking who our attorney is. Joey felt we should ask Charlie if we can tell people he has been our attorney for the Repro Bank and has volunteered to contact him.
Treasurer’s Report: Christmas in July made over $1000 with lots of positive feedback on the items. The Bank thanked Joey and Kathy for their work on the Christmas in July find raiser.
New Business: Do we need an additional Board member charged with the task of keeping tabs on the dogs in the bank and their health testing. Two of the dogs still need to complete their health tests. Members were asked to consider possible members.
Art Raffle: Cindy Huffman will be asked to do the portrait for the raffle in March.
Jody will again be asked to do the second prize.
The third prize will be a matted copy of the Repro Bank logo.
This year we should list the 3 prizes on the raffle ticket.

President’s Report: AKC has finished its Power Point on How to Start a Repro Bank and will share it with us via Joey as an FYI.
Treasurer’s Report: Becky will send the approval form to the OHCA President and then to Joey to forward to the AKC.

Old business: Few of the stud dogs in the Reproduction Bank have semen available for immediate use.

Some are not available because the owners have reserves some for their personal use and the Bank cannot release semen if the owner still has some. How do we allow semen in the Bank to be used by others through the Repro Banks’ process and still allow owners to use semen they’ve donated without additional charge?
Some still do not have all their health clearances and we need to get the owners to comply with health testing requirements.

Christmas in July: All orders have been accepted and filed. Items will be shipped at the end of August and at that time the Repro Bank will be billed for the order.

Need to get some additional items to make up the minimums for an order. We will sell these.
Next year we should offer Christmas in July online only because printing and shipping the information and order blank is too expensive.
We may want to offer different items next year.

We need to come with suggestions for the artist and ideas for the Portrait Raffle next meeting.

We decided to stay on Free Conference Call unless we need video for a meeting.

Kathy expressed concern about using Zoom for meetings, since she got hacked during a family Zoom meeting. No one else had a problem with Zoom.

Treasurer’s report: Christmas in July sales are off to a slow start.
Question of placement of logo on denim shirts: above pocket or on opposite side. Over the pocket was customary placement.
Old Business: Discussion of the dogs whose semen is in the bank but the dogs have not completed their health tests. Need to contact owners personally.
Joey will write a letter to send and suggested we have a spreadsheet to show which dogs have semen in bank only, which dogs have semen in bank but also in owner’s possession, which dogs have which health clearances, etc.
We need to correct front page of website. Females do not need to have had a previous litter before using frozen semen from the bank and the page needs to reflect that.
New Business: Joey will try to find someone to collect dogs at the 2021 National Specialty in Ohio.

We need to ask breeders to include information on the Reproduction Bank to their puppy owners.

Old Business:  Masks and bandannas may be too costly to make and mail to net a profit.

New Business:
Newsletter:  Need permission from John Goldfarb and also Deb Steffen  and the AKC to use the picture from the AKC website for our Playboy of the Month photo.  Joey will obtain this permission.  The photo is password protected on the ReproBank website, so it is not available for the general public now.

Aside from Playboy of the Month, the newsletter will contain tips from breeders with a disclaimer to advise readers to check with their vet  if they aren’t sure about a tip along with a note on how to leave frozen semen to the bank.

Christmas in July: Allison suggested leisure pants, since so many are now working at home.  Kathy will work with Allison and others for suggestions for our Christmas in July sale and contact Stitch America for items.

Copywriting Logo: Becky shared advice from her attorney brother-in-law. In summary, we may not need to do anything in terms of copywriting at present. We should get the artist to state in writing that she has signed over the logo to us. Joey will contact the artist for such a statement.
Christmas in July Sale: This fund raiser is on hold until we see what is happening with Covid 19.
Collection of dogs outside North America: We discussed how much the Repro Bank is able to pay to defray expenses for health testing, shipping and collecting semen from dogs on another continent. Because we have recently started up our Reproduction bank, we do not have sufficient funds in our limited treasury to pay these expenses at this time.

The President called the meeting to order at 7:31 CST. Kathy moved to approve the November Minutes, seconded by Linda. Minutes were approved unanimously.
President’s Report: Joey reported that according to Mark Dunn, VP of Registration at the AKC, they hope to take a template for other Clubs to follow in establishing Reproduction Banks to the AKC Board of Directors in January and then to the AKC Delegate body in March.

Secretary’s Report; We are caught up with thank-yous for the 2019 donations. The Secretary also sent out letter to all the owners of dogs in the Repro Bank who still need to finish their health clearances. The letters also contained forms needed for submission to CHIC.

Old business: Discussion of artist to do portrait for the Portrait raffle. The Board voted to ask Richard Carman to do the portrait this year and ask if we can get a copy of a previous Otterhound portrait to use for advertising and for the letter accompanying the tickets.
Eibhlin will communicate with Richard Carman.

Joey will have Vistaprint do the tickets. They can do 1000 for about $35. Kathy will share last year’s letter and look to see if she has a sample ticket.

New Business: Genetic analysis. Becky raised the question of using an analysis like Embark for genetic information on Otterhounds. Joey was opposed because the genetic tests they use do not apply to Otterhounds.

Need for Breeders to submit Blood to DNA Bank. The board discussed the need for all breeders to submit blood from their litters to the DNA Bank at the University of Missouri before they leave for their new homes. It is so much harder to get individual owners to do it when they submit semen to the Reproduction Bank. Is this part of the Reproduction Bank’s educational mission or should it be done through the OHCA Health Committee? Much of the information has already been printed several times in the Voice, but repeating by both groups seems necessary. The OHCA also needs individual mentors to walk new breeders through the testing and registration steps.

Treasurer’s Report: Yesterday I spoke with Pawprints regarding our request to purchase 10 kits for the GT test for Otterhounds. I was able to designate the users as Dog 1, Dog 2 , etc. so that as we encounter the dogs we need tested, we can send the tests or bring them to our collection site and get the cheek swab right away. There is no expiration for using the test. Since Joey’s concern about purchasing the test in volume that we would have to name the dog we were testing was allayed by the policy of Pawprints, I went ahead with the purchase as we had voted on. The amount of $400 was charged to our debit card. That will come with one mailer to return a sample to Pawprints. After that, we will have to come up with our own mailers. The kits are being sent to our PO box.
We have also been charged by Sirius, the collector of our California semen in the amount of $1064.07 which is pending in our account. I am concerned about this as Joey had spoken with them to send it through her shipping program. This is something we need to investigate further. When Joey returns from travel, we will follow up.   Secretary’s note: Joey did follow-up.
Old Business:
Pawprints GT tests: We inform the owners of dogs in the Bank who still need GT tests that we will send them the test along with the How to sheet and the GT form and Hip and Elbow form for the OFA once they send in the payment of $40. For the test.
Portrait Raffle: We received a quote from Richard Carman of 250 pounds or about $325 with shipping costs of 15 pounds or about $33. Joey will get a quote from Jody and we can vote online. Last year’s winners are delighted with their portrait.
Eibhlin will contact Anne Diemer for raffle tickets, which we will pay for.
New Business:
Voted unanimously to copyright the OHCA Reproduction Bank, Inc.’s logo.
Discussed collections in Louisville at the March Regionals and will tell people about the opportunity for hip and elbow x-rays there.
Discussed having Associates on the OHCA Reproduction Bank Inc. Board so have a pool to choose from when new members are needed.    We will discuss this further at the December meeting.
Election: The Board unanimously appointed the Secretary to cast a ballot to retain the current OHCA Reproduction Bank, Inc. board members for another year.

Treasurer’s Report: I said last month I would review our 2 fundraisers from the year to let you know the final tallies for the income from each. From the Raffle we took in $1540 and spent $275 though I think Kathy helped us by paying the postage to mail out the tickets. That left us with a profit of $1265. The income from the Stitch America clothing sale was $4252.20. The costs were $3212.89 including postage resulting in a profit of $1039.31. I think both were good fundraisers! The winning ticket (Trish Congello) should be getting her drawing soon. She has seen the draft.
I received the billing amount of $1255 from ICSB so I will have to get more detail on that. We were fortunate to collect 3 males for the bank: General, Gabel and Logan. All but Logan also required brucellosis tests. Bev Biren also did brucellosis tests for three of her males and will reimburse the OHCA Reproduction Bank, Inc. when we get the final bill.
Becky and Joey will contact Sirius about shipping to ISU.
Old Business: We need to follow up with people who have donated semen but still need health testing. We haven’t heard from Pawprints Genetics about possible discounts for the test. We also need to follow up with people who have contacted the Reproduction bank about donating semen but haven’t donated.
New Business: The Board agreed to repeat the Portrait Raffle with a drawing at the Louisville Regional Specialties. Members will contact various artists and Becky will send a list from the AKC Museum of the Dog.
Newsletter: We will begin a newsletter to be sent via email 3-4 times a year. Becky will begin to work on it.

The Minutes of the August meeting were approved unanimously.

Treasurer’s Report on Christmas in July sales to date:
Income from Merchandise (including shipping charges)    $3792.24
Stitch America Merchandise and shipping to Kathy Munger                                    $2532.01
(We had 37 purchases through PayPal which cut our Income by about $63)
This leaves our current income from the Christmas in July sale at    $1260.23
Let’s see what the cost for shipping the merchandise to our buyers will be but it looks to me like we will have increased our bottom line by about $1000.
Our current bank balance is $7891.88. I recently paid Iowa State $45 for storage on Riverrun A’Gus and Riverrun Blaze. I was also time to renew our website hosting fee which was $144.72. When we upgraded our website for the sale, they used our remaining balance to pay for that month so we had to renew earlier than we would have otherwise done.
Next month I can give you more detail of the year to date but wanted to let you know that I think our Xmas in July sale was worthwhile both in revenue and good will with Otterhound owners.
Old Business: Christmas in July Fundraiser
The fundraiser was very successful. Some people who wanted items were too late to order. We only need 6 items with the same size logo to reorder. We may offer Christmas in July items again after the National Specialty.
Orders will be mailed in a week to 10 days after checking the mailing addresses for all orders.
New Business: The Reproduction Bank will donate a beanie to be auctioned at the national Specialty in California with an opening bid of $20.
Discussion of logo resulted in an agreement that the logo was excellent and nothing would be changed.
Update on Semen Collection at the National Specialty on October 19 and 20.

Sirius Canine Reproduction can charge both brucella tests and collections to the OHCA Reproduction Bank for those dogs donating their semen to the Bank.   People who are using Sirius to collect semen for themselves will have to pay Sirius’ fees. Donors can schedule directly through Sirius Canine Reproduction, and the people at Sirius will hand out the paperwork for ISU and for the reproduction Bank.
Discussion of Voice article to include reminder to donors to do the CHIC Health Tests and submit the results to OFA.
The Reproduction Bank can order Glanzman’s tests in bulk from PawPrints genetics and save up to 35%.

People need to book with Sirius but contact us for the donations forms.
The Secretary will attempt to respond to the email about shirts and mugs.

New Business: Unanimous decision to order a dozen baseball caps at $9 each from Stitch America to be used to thank donors. Becky will order 6 khaki with black embroidery and 6 khaki with camel embroidery. We can see how the embroidery of our logo turns out when we get the caps.
Christmas in July: All liked the ease of ordering and lack of number restrictions that Primo offered, but there was concern about the embroidery of the logo. Discussion of items. Kathy will send a list of products for us to choose from, so we can get the list to the Voice for the July-August issue.

Semen Collection at the National Specialty is set. We need to figure out a collection time. Iowa State should send a tank to California so the collected semen can be shipped there for storage. Brucella tests will be
done at the same time.

Eibhlin and Linda reviewed Charlie Donnelly's presentation to the OHCA Board on the relationship between the Repro Bank 501c3 and the Parent Club.  Conclusion: We have done all he recommended to show the difference between the two: we have a separate Board and a separate treasury.  He did recommend both groups use INC every time they use the organization’s title.
Fundraising:  Cindy Huffman joined the meeting to discuss options for fundraising for our Christmas in July.  No decision was reached, but the board heard many ideas of various types and amounts of merchandise to sell.

Discussion of Mailing Labels and Business Cards: Kathy requested more of the business cards with the logo. Becky will send her more.
Kathy said she didn’t need as many mailing labels, since they made their own for fundraising letters.
Thank yous: Discussion on whether to send those who donate large amounts to the Repro Bank a thank-you gift, like a baseball cap with the ReproBank logo. Joey will check with a local company. Becky sent the logo to members.
Fundraising: Check with Allison and Cindy about selling portrait raffle tickets at Louisville.
Other possible fundraising items:

Jewelry and/or ornaments with our logo

Fleece jacket and vests and beanies. Members loved the fleeces Anne Diemer ordered years ago. Becky said that they came from Stitch America. Members urged to check the Stitch America catalogue for suggestions and recommendations of jackets. Etc. Becky would send them the logo for an estimate, as we hope to get fundraising information in the May-June issue of the Voice.

Letter: Joey volunteered to draft a letter to reply to email about dogs listed in the Bank.

Cindy Huffman has the art print from Janet Cain for the drawing in Louisville and Alison Rosenberg has the extra tickets and will bring them to Louisville.
Kathy stated that the letter that went out with the raffle tickets doesn’t tell people whom to make checks out to, but it does tell people where to mail the tickets. Members felt this wouldn’t be a problem since the Reproduction Bank is identified in the letter and on the tickets.
Marilyn has been traveling and is now working on putting our logo on stationery and business cards.
New Business:
Becky mentioned that there has been a problem with some Paypal payments going to the Treasurer’s private email.
Discussion on Epilepsy List that is currently a file on the OHCA Bulletin. Many members cannot access the Bulletin list. Suggestion was made to put it on a members-only, password- protected area of Otterhound University. Joey will send the spreadsheet to Becky to see if she can put it on OHU.
Discussion of forthcoming semen donations elicited a question whether we should put the ISU information and contact on our website. Unanimously decided not to. We would like folks to begin on our website with all the information there and not ask ISU about questions they might not be able to answer about the workings of the Reproduction Bank.

Meeting was called to order at 8:30 EST, 1/14/2019, with Joey and Kathy present. Becky joined shortly after and then Eibhlin.
We discussed a request for the use of semen from the bank. Plans for follow up have been made.

It was decided to use Janet Cain's artwork for our Louisville raffle fundraiser in March.   Eibhlin is working with Ann Diemer on the printing of the tickets. Kathy and Joey will do the mailing. The drawing will be held Sat at the Otterhound grooming area. The raffle winner will receive a custom commissioned portrait of their pet. Four additional winners will each receive a Janet Cain limited edition print.

The need for a Fundraising Committee was brought up and everyone agreed it was necessary. Kathy volunteered to be the Board member and is contacting two other people to serve on it.
I'm assuming our next meeting will be the third Monday in February, 2/18.

Minutes of the November meeting were approved (typos corrected) unanimously.
Logo: All liked the adjustments to the drawing but wanted to see it with smaller letters and without the box. Becky will ask Cathy Lester to send the final version.
Letterhead and Printed Material: Marilyn Hajjar will be asked to set up the logo on letterhead and include the names of the Bank’s Board members, the Bank’s website and email address. At the bottom will be a statement that the OHCA Reproduction Bank is a 501c3. In addition we will make return address labels and Marilyn will be asked to send designs for all of it. We decided on black letters on a white background with the logo on the back of our business cards. Marilyn will assess if the logo will fit well horizontally like the front of the cards.
Fundraising: All agreed to hold a raffle and the winner will have a portrait of his/her dog done by the selected artist. Anne Diemer will be asked to provide the raffle tickets.
All were to send samples of the work of artists they like or their websites for us to view, so we can decide on the artist at our next meeting. Joey will contact Janet Cain. Becky will contact Jodi Geerling and the artist she saw in Orlando. Kathy will contact Kathy Maness. By January 5, members should contact their artists and share the information with all members.
Voice: The list of Reproduction bank officers will be on the Reproduction Bank page of the Voice. The next issue will contain information about the Reproduction Bank raffle in Louisville in March.

Collections: Joey has contacted the people in California and they are interested in working with us to collect dogs at the 2019 National in California. (Sirius Canine Fertility)
Becky will be sending donor information to the dogs who have donated semen to the Bank plus a reminder to do the CHIC required tests if not already done. Eibhlin will work on stating the process to follow when someone donates semen to the Bank, including the forms and whom to contact. ISU will send a canister for frozen semen donations that have been stored elsewhere. If the canister is not charged, the shipment will cost $210.
Logo: Becky will contact Kathy Lester with suggestions on the logo.
Insurance: Equisure will offer liability insurance for the Reproduction Bank Board, but it was decided to postpone the insurance until the time when the Bank is used.
Revisions to Requirements for Bitches and Dogs:
Bitches

Bitches must be a minimum of two years of age but prior to their seventh birthday.
Must meet the qualifications for a CHIC prior to the planned breeding.
Must be in good health, of sound temperament and of good conformation as described in the Otterhound standard.
Must use quantitative ovulation timing (i.e. progesterone testing).
Breeder must be a member in good standing of the Otterhound Club of America.
Must be at least 6 months since last heat or 4 months from the last litter with documentation from veterinarian stating bitch is in good health for breeding.
Must have negative brucellosis test within 2 weeks of breeding.

Dogs: The only change is number 2 will read as #3 does for bitches

Must be in good health, of sound temperament and of good disposition as described in the Otterhound standard.

To be added to the application for use of semen:
The stud fee is to be paid at the time of shipment of semen and is non-refundable and will not be replaced if the bitch does not conceive.

The stud fee will be market price at the time of the breeding.

The next meeting will be Monday, December 17, 2018. On the agenda will be a fund-raiser for Louisville.

Minutes of the September meeting: Kathy Munger moved to amend the September Minutes to
read “A bitch may be bred 6 months from her last season or 4 months from the whelping of her
last litter.” Becky seconded the motion. The amended Minutes passed unanimously.
President’s Report:
Reproduction Bank Logo: Cathy Lester requested photos of adult and puppies, including profiles. Members agreed to send photos from their own collections and to share them with the rest of the Reproduction Committee.
Insurance: Joey talked to Diane Lesher at Equisure, and they said they would insure the Board
of the Reproduction Bank for liability. Becky will contact Diane to get details.
Treasurer’s Report: Becky is still waiting to hear from ISU about the agreement with the Reproduction Bank. ISU will not charge the Reproduction bank for storage until January of 2019. The Reproduction Bank at Amazon. Smile has been set up. Changes to the website will be made in the near future.
New Business:
The Voice will carry the news about Amazon.smile and remind people that any year-end donations made to the Reproduction Bank are tax-deductible.
Joey mentioned the possibility of getting semen from Villaseeker’s Damien in Germany.
Eibhlin raised the question : If offspring from imported semen has seizures, will we be able to
use the banked semen for future litters. Joey will look into this.
Dr. Anita Obermeyer, a Toller breeder at UCDavis, may be interested in working with the OHCA on DNA research through the CHF.
Collection at National Specialty in California:
Dr, Greer said that Bridget Higgenbottom of Sirius Canine Fertility might be able to collect semen from Otterhounds at the 2019 National. Joey will contact her and see if she can work with us.
We need to review the requirements for Dogs and Bitches to see if any others need changing.
We will email each other with suggestions by November 10.
Discussion of having dogs collected and assessed before collected for donation.

Meeting was called to order at 7:35 p.m. CDT
   Discussion of Semen Collection in Iowa. The Bank currently has semen from 10 dogs. Becky suggested we ask Dr. Greer to attend our October meeting to review the semen collection in des Moines. All agreed.
Questions of how to thank those who donated money and/or semen and those who brought their dogs to Des Moines to donate. The Board decided all would be listed in the Voice and any distinction would be made in the official thank you letter. Becky will resend the letter so we can decide its final form/wording.
   Reproduction Bank Logo: The board discussed logo design and requested more samples of the work of Kathy Lester, especially logo designs. The Board wanted a line drawing in the design.
   Rules for Bitches:   Joey asked we reconsider the rule that bitches have met CHIC requirements six months before applying to the Reproduction Bank for semen. Discussion followed/.
Joey moved and Eibhlin seconded the following change :
Bitches must meet the qualifications for a CHIC number prior to a planned breeding.”
The motion passed unanimously.
Joey also questioned the rule requiring that a bitch wait 6 months from her last litter before using the Reproduction Bank and advocated we change it to 4 months after her last season. The topic was tabled until next meeting when members had time to review all the Rules and suggest wording.
   Fund-raising: Becky moved and Eibhlin seconded the Reproduction Bank be listed as a choice at Amazon Smile. The motion passed unanimously. Discussion of holding a raffle in Louisville for a portrait of the winner’s dog. We will check with Anne Diemer to get her OK. Other suggestions, like fleeces from Stitch America or T-shirts were also discussed with no decisions.
   Insurance and Disclaimer: Becky raised the issue of needing insurance to cover the Board members of the Reproduction Bank. All agreed and Eibhlin suggested we check with Equisure, that insures the OHCA. Becky said she would ask Betsy Conway to help with insurance. We also discussed the need for a disclaimer should a bitch not become pregnant after using semen from the Bank. Becky said she would run that past Dr. Greer when she reviews the ISU agreement.
   Logo revisited: Kathy moved and Becky seconded we hire Kathy Lester to do the Reproduction Bank logo for a fee of $100. Votes: 4 yes and 1 abstention,

Minutes of the August 20, 2018 Meeting of the OHCA Reproduction Bank Via teleconference.
Members present: Joey Gregory, Becky Van Houten, Linda Schrader, Kathy Munger and Eibhlin Glennon. Joey called the meeting to order at 7:33 p.m. CDT First Item of business was forming a schedule for collection of the dogs at the National.   A tentative schedule was drawn up to minimize conflicts with those who signed up for tracking, CGC and Trick Dog at the park in Indianola. Becky would check to see if three additional dogs would be coming and need to be added to the schedule. The second and final item of business was to draw up a list of the paperwork needed and communicate that to the donors’ owners.
Each person would need:
AKC Registration
Copy of their dog’s DNA profile if done
Copy of Brucella test results if one has been done within 30 days of collection

Reproduction Bank will provide:
DNA cheek swab if needed
Brucella test
Iowa State Form for storage
Reproduction Bank forms

We will also have available Donation Form for semen already collected elsewhere and Semen Donation Form for a Will.

Minutes of the July 23, 2018 of the Otterhound Reproduction Bank Via Teleconference
Members Present:  Joellen Gregory, Becky Van Houten, Linda Schrader, Kathy Munger, Eibhlin Glennon
   President Joey Gregory called the meeting to order at 7:35 CDT. Becky asked about questions members may have as Wayne reported.  In the meeting, members composed a brief list of Q&As about semen collection at the Specialty in Des  Moines. Joey would send them to Wayne and request him to send an all-member email blast with them.
   Discussion of fund-raising T-shirts.  No more will be done unless we choose to do more of the ones the Committee designed.
Discussion of semen bank collection in Des Moines: Depending on how many dogs we get, we can schedule every hour (every half hour if needed). Collections need to end by 4:30 p.m. Becky charged to get detailed costs of semen collection in Des Moines. We need a volunteer to make sure all the paperwork is filled out and to keep everyone on schedule.

June 25, 2018 Meeting of the OHCA Reproduction Bank via teleconference

President’s Report:  Joey did a presentation on the Reproduction Bank to the AKC Delegates Body on June 10,208, which was received with enthusiasm.
Treasurer’s Report:  The bank received at $250 donation via Paypal.
Becky shared information on handling IRS deductions for donated semen, which will be added to the website.
Discussion and Planning for Collection in Des Moines.
Health Committee will be responsible for hotel room and speaker fee for presentation on Thursday night.  Dr.  Greer’s talk on the Valuable Stud Dog is expected to last about 11/2 hours with an additional hour allotted for questions,
The Reproduction Bank will cover collection expenses and storage expenses for those donating to the Bank in the morning and afternoon on Thursday.  We will also calculate the cost for those who wish to collect and store semen without donating it to the Reproduction Bank.

May 21, 2018 Meeting of the OHCA Reproduction Bank

Meeting Called to order at by teleconference at 7:32 p.m.
The Reproduction Bank received official notice that it has been granted 501c3 status.
Kathy Munger read suggested changes to the letter requesting donations, since we are now a 501c3 organization.
Motions on Accepted Semen:
Kathy moved that as people donate to the OHCA Reproduction Bank their names are listed in the Voice as recognition for their generosity. They may choose to remain anonymous. Becky seconded the motion, which passed 4 yes and 1 no.
Linda moved that the Bank will not accept semen from dogs who are cyptorchids at the time of collection. Kathy seconded the motion which passed unanimously.
Eibhlin moved that the bank will accept the semen of offspring of dogs with seizures, but it will be held on a reserve list until the dogs are 10 years old or deceased. If they have no seizures by then, they will be moved to the available list.
Becky asked people to approve their pictures and send a biography of 250 words for the website.
Treasurer’s Report: Total amount in the bank is $1370.26 due to donations, recently from Paypal. Expenditure of $60. to pay for a Post Office Box.
Discussion followed on fundraising ideas for Louisville and for details of semen collection in Des Moines, including cost, teaser bitch and scheduling.
Joey will write an article on how to transfer semen from one storage facility to the Repro Bank storage at Iowa State University.

Minutes of the March 26, 2018 Teleconference Meeting of the Otterhound Reproduction Bank
President Joey Gregory called the meeting to order at 7:35 CDT.

Joey reported on sharing at the delegate meeting before Louisville.   Also she requested I send a copy of the permission signed by Wayne Plucheck to Mark Dunn at [email protected].

Discussion of any conditions that would keep us from accepting donated semen.

Epilepsy: It was agreed Not to accept semen from dogs with epilepsy but to accept semen from off spring of epileptic dogs if the off spring have not had seizures. This semen would be kept on reserve and at the next meeting Committee will vote on the duration it will be kept on a reserve list.

Cyptorchidism: Discussion on whether to accept semen from dogs with one descended testicle. Joey sent out an article and the committee will decide on this at the April meeting.

Joey called the meeting to order at 8:35 EST.
Issues discussed:
Letting donors know when semen they have donated is purchased. Unanimously decided to add to the donor form the following check off
“I would like to be contacted when the semen I have donated is purchased.”

Any limits on semen accepted?
The Reproduction Bank will accept any Otterhound semen donated, but will only pay to collect those who meet the stated criteria.
The Reproduction Bank will accept some semen that will not be available for use until further research into particular health problems.   The method used to record this without it being readily available is still to be determined.
Status of 501C3 for Reproduction Bank questioned. Joey will contact Deb Steffen.
Business Cards: Two cards will be made. The front will be one of the two photos selected with wording Otterhound Reproduction Bank. The reverse side will contain the wording “Preserving Otterhounds for the Future” and the website and email addresses.
The next meeting will be on Monday, March 26, 2018.

MINUTES OF THE FEBRUARY 19, 2018 MEETING OF THE OHCA REPRODUCTION BANK VIA TELECONFERENCE
Members Present: Joellen Gregory, Linda Schrader, Becky Van Houten, Kathy Munger. Guest: Marilyn Hajjar.
Meeting was called to order at 8:37 EST.
Marilyn Hajjar joined us at a special meeting to discuss graphic design of Reproduction Bank Business Cards and the website. After explaining her extensive experience as a graphic artist and in the advertising world, Marilyn used her experience to advise us. We discussed mottos and she advised we pick one that is short and clearly describes our mission. We settled on two photos and Joey was going to check with Vista Print the minimum number we needed for an order to decide if we wanted to make one card or two, using both photos or just the puppy photo.

The front of the card would consist of the photo with OHCA Reproduction Bank superimposed. The back would contain the motto, website and email addresses.
It was decided that we would complete our recommendation on the card by our next meeting on Monday, February 26 to send it to Marilyn for final design. We want to have the cards for distribution at the Louisville regional specialties.
We also looked at the website and Marilyn suggested that we eliminate the opening question in favor of a declaration of what the Bank does. She also suggested we expand that explanation and not rely on people's reading the By-Laws and detailed forms.
After a brief discussion of keeping the database updated, the meeting adjourned at 9:15 p.m. EST. Our next meeting will be held on Monday, February 26, 2018.

MINUTES OF THE JANUARY 22, 2018 OHCA REPRODUCTION BANK

Joey called the teleconference meeting to order at 7:30 p.m.
Discussion of the keeping the database current on litters born netted the following unanimous vote to recommend to the OHCA Board that in order to be listed on the Breeder Referral of the website, breeders must register all their puppies and make sure they are entered in the database.
Joey mentioned that Breeders of Merit weren't listed on the mobile app of the website.
Health Speaker at the National: Dr. Greer will be sending a contract along with charges to collect semen in Des Moines. Members agreed to have a Business Card for the Reproduction Bank to direct people with questions to our website. We hope to have the business cards ready for Louisville to better inform breeders who are there.
We agreed to ask several artists to submit ideas for a logo for the Bank.

Joey called the meeting to order at 8:35 p.m. EST.
President’s Report: Deb Steffen reported that the Reproduction Bank now has a number, so it should be a short time until we know if we are approved for 501c3 status.
The OHCA Board dissolved the Reproduction Bank as a Committee of the Club.
The AKC received our paperwork, so we are ready to accept donated semen. Eibhlin will make a copy of the form for each member.
The members discussed articles on spaying/neutering.
Unanimously decided to put the forms for donating sperm in the January-February issue of the Voice.
In the information on the Des Moines Specialty, we will also include collection information both in Des Moines and at Joey’s clinic for those on the East coast unable to get to Des Moines.
Dr.Marty Greer will need two contracts: one from the health Committee for her evening talk, and the other from the Reproduction Bank for collecting semen.

Minutes of the November 13, 2017 Meeting of the OHCA Reproduction Bank

Welcome to our newest committee member, Kathy Munger, who replaces Betsy Conway.
Treasurer’s Report: Becky reported that our checking account has a balance of $1365. The cost of our website domain is $120 for 2 years and $95 for one. Becky moved and Eibhlin seconded that we subscribe for 2 years and possibly more if they offer more years for a reasonable cost. Becky promised to check for next meeting. The motion passed unanimously.
Website: Becky will try to put all the Reproduction Banks’ forms on the website and once done members should fill out a form as a test.
501c3 status: We are still waiting to hear from Deb Steffen.
Election of President: Kathy moved and Linda seconded a motion to name Joey as President. The motion passed unanimously.
Election of Vice-President: Eibhlin moved and Becky seconded the nomination of Linda as Vice-president. The motion passed unanimously.
Form allowing the OHCA Reproduction Bank to own semen: Form would be signed by Joey as President, Eibhlin as Secretary and Becky as Treasurer and then forwarded to Wayne Plucheck for his signature. Bank will use Joey’s address, since the bank is incorporated in Maryland. All will get a copy.
Next meeting will be on Monday, December 18, 2017.

Minutes of the October 16, 2017 Meeting of the OHCA Reproduction Bank

Eibhlin moved, seconded by Becky that we ask Kathy Munger to join the Reproduction Bank Committee to replace Betsy Conway, who has resigned. The motion passed unanimously.
Reproduction Bank Status: Becky volunteered to contact Deb Steffen about approval of the 501c3 status of the Reproduction Bank.
Discussion of semen collection and storage at the 2018 National Specialty in Des Moines:
Dr. Marty Greer, our Health Speaker, and Dr. Joey Gregory will collect semen on Thursday, September 6, 2018 and deposit it in the Sperm Bank at Iowa State University, which will be our first storage location.
Dr. Joey Gregory can also collect it at her clinic and bring it with her to Des Moines for those who cannot make the Specialty.
DNA can be collected and sent to OFA at the same time, and it may be possible to offer Glanzman’s testing as well.
Dogs under 24 months, who have not had their hips x-rayed and evaluated may be collected, but owners are to have the hips done afterwards when the dog reaches 24 months.

Minutes of the 21 August 2017 Meeting of the Reproduction Bank Committee
Members Present: Betsy Conway, Linda Schrader, Becky Van Houten, Joellen Gregory, Eibhlin Glennon
Members continued their discussion on selecting dogs whose sperm the Committee would pay to freeze. It was agreed that the following steps would be taken by committee members.
Becky Van Houten will check with Deb Steffens on the status of the Bank’s 501c3 application and the design of a logo.
Linda Schrader and Eibhlin Glennon will design a page for the Voice urging Otterhound owners to consider freezing the semen of their males before neutering them.
Eibhlin also volunteered to draft a letter to our breeders asking them for their help in identifying dogs that should be frozen and urging their puppy people to freeze semen from their intact males.
Joey Gregory suggested that researchers may be ready to accept frozen ovaries when females are spayed, even though they may not be used for a couple of years.
The Committee agreed not to meet in September because the third Monday is the day after the National Specialty. We will look for a time to meet before the third week of October.

Betsy called the meeting to order at 7:40p.m.
Insurance: We will need liability insurance to protect the Reproduction Bank in case someone
sues. Insuring semen not feasible, since it is irreplaceable. Liability for the Bank is not covered
by the OHCA policy, and Betsy will look into obtaining liability coverage.
Semen Storage: Some members are still checking, but many universities no longer store semen.
So far the Iowa State charges !5.00 a year and the place in Illinois $40.
Collection at the National? Joey will let us know in a couple of weeks if she will be available to
collect semen at the National Specialty in Pennsylvania.
Members agreed unanimously to share with other AKC Breed clubs the packet of information on
the Reproduction bank even before it is posted on the website.
Assignments:
1. Continue to check places to see if they store semen long term and how much they charge
per year.
2. Review litters from 2007 – 2014 for dogs to collect
3. Becky will continue to work on a website and logo.

President Conway called the meeting to order at 7:34.
President’s Report: Betsy hasn’t found a company that will insure frozen semen yet. She will be
checking with Equisure for next meeting.
Collection at the National Specialty
Joey reported that she can get the equipment needed to collect semen at the national Specialty in
Pennsylvania. Committee decided that there would be no charge for semen collected that is
donated directly to the Reproduction Bank. There would be a charge for collection if owner
decides to keep the semen. Shipping cost runs $300-$400.
Storage
Storage costs vary from a low of $15 a year plus set up fee at Iowa State to $92 a year at Zoetis.
Becky volunteered to compile a list of universities that might store semen like Iowa does. The
committee will divide up the list and call to check prices. The committee discussed the benefits
of using more than one storage facility.
Becky promised to resend the spreadsheet that lists dogs with 4 different grandsires and
granddams. Each member should pick out 5 dogs we might want to freeze for the bank.
Website
Becky is working on setting up our website and asked about having a logo. She also asked for
suggestions on what to put on the website besides the documents of the Reproduction Bank.
Eibhlin suggested informational articles on reproduction, genetics, etc. to support our mission
that includes education.
Treasury
We have received over $2000 that will be transferred to our bank account. Once we receive the
moneys and a list of donors, we will send thank-you notes.
